Summary of the webinar “Meet Workato: Integration, Automation, AI”
Is your company drowning in a maze of applications, and do IT departments spend most of their time maintaining systems instead of developing them?
Faced with growing cost pressure and necessary digital transformation, the traditional approach to integration often proves insufficient. To introduce a modern alternative, we organized the first webinar in Poland dedicated to the Workato platform. Our speakers: Radosław Ruciński, Piotr Zwardoń from Workato, and Rafał Kamiński from SoundCloud discussed how to effectively connect systems, automate processes, and leverage the potential of artificial intelligence in business practice.
Workato Platform – more than just iPaaS
During the discussion, we debunked many myths circulating in the industry – one of them was the fear that new solutions only increase architecture complexity. As Piotr Zwardoń emphasized, Workato goes far beyond a standard iPaaS (Integration Platform as a Service).

Workato is a comprehensive platform that offers in one place:
- Application and data integration: Over 10,000 pre-built connectors to the most popular systems.
- Process automation: The ability to create workflows covering various departments, from HR to IT.
- AI solutions: Built-in IDP (Intelligent Document Processing) features and the ability to create AI agents (Workato Agentic).
- Security: PCI, ISO, SOC certifications, and the OPA (On-Prem Agent) solution for securely connecting cloud resources with the company’s local network without complex VPN configurations.
Case Study: How SoundCloud saved thousands of hours
Theory is one thing, but how does Workato perform in daily operations? Rafał shared the story of process transformation at SoundCloud.
Initially, the company relied on manual onboarding and offboarding procedures, which, when handling 10-20 new employees per week, consumed up to 20 hours of IT department work monthly and resulted in numerous mistakes, such as typos in surnames. Therefore, attempts were made to automate using Bash and Ruby scripts, but they proved inflexible and difficult to maintain.
Implementing Workato allowed for:
- Significant reduction in onboarding time: The time required to create accounts across all systems decreased from several hours to a maximum of 3 minutes.
- Elimination of human errors: Automation ensured complete data consistency between HR and IT systems.
- Expanding automation: Following successful implementations in IT, the platform began to be used by HR, Legal, and Security departments as well – e.g., for offboarding and access management.
Demo: Integrating SAP and Salesforce and using AI in practice
During the webinar, we showed how low the entry barrier is to the world of Workato. Unlike complex integration buses such as MuleSoft or SAP PO, Workato relies on a low-code approach.
Participants were able to see two practical scenarios:
- Integrating SAP with Salesforce: Creating a new Account object in Salesforce automatically triggered the process of creating a Business Partner in the SAP S/4HANA system (on-premise) by utilizing standard connectors dedicated to SAP and Salesforce, as well as the OPA agent to connect with the on-premise system. The entire configuration took minutes, not weeks.

- Intelligent Document Processing (IDP) for invoices: We demonstrated a process where a PDF invoice saved on Google Drive was read by an AI-supported OCR, and its line items (e.g., flights, hotels) were automatically classified by a language model and saved in a spreadsheet.

Why is it worth considering a change?
The webinar summarized key market challenges, such as the growing number of applications (often exceeding 1,000 in large organizations) and the increasing technological debt resulting from maintaining legacy systems.
Workato addresses these problems through:
- Deployment speed (Time to Value): Users see value almost immediately, launching their first processes in a few days.
- Accessibility for business: The intuitive interface allows not only developers but also people from business departments (so-called Citizen Developers) to build automations.
- Minimizing technological debt through pre-built connectors, updates, and eliminating the need to write custom integrations from scratch.
- Foundation for AI: To implement artificial intelligence, companies need integrated and up-to-date data – Workato provides this essential flow.
